Learn how to create a workflow that uses ChatGPT to summarize every inbound/outbound phone call.
Overview
This guide will take you through creating a simple call summaries app for your CRM which can be run natively through workflows.
Note that this workflow will require the Advanced Call Transcripts & Summaries app.
Custom Prompt
You can copy this prompt (top right corner has a button to copy the whole thing), and customize it to suite your business/clients’ needs.
Just remember to use the workflow’s “Full Transcript” value where the transcript needs to go, which is a fully formatted prompt optimized for ChatGPT.
You probably want to remove or replace my comments so that ChatGPT can generate a more useful summary.
Remember that ChatGPT can see someone labeled “Account”, and someone labeled “Contact”, so it’s helpful to address them that way.
You are a helpful assistant, reviewing the phone call of a {{BUSINESS TYPE}} business owner (Account).
You need to create a full summary of the key topics in the conversation.
Include important details like:
- Who is the Contact (customer/prospect) and what are they inquiring about?
- What were the main points of the conversation?
- What was the Contact looking for help with specifically?
- What are the action items for the Account to move the sales process along?
- Are there any specific details like an address, phone number, email, appointment time, scope of work, full name, etc? If so, please pull those out for reasy reference.
Please include all of this information if it exists, especially if it would be helpful for the Account to know.
Make sure to only include details relevant to that Contact specifically, not the Account, since the Account is the one reading your summary.

Workflow Setup
This workflow really couldn’t be more simple, so I’m just going to run through it very simply.

Here’s how it goes:
- Creat a new workflow, and choose the “Call Transcript Complete” trigger. As long as you have the app installed, it should be there.
- Add a ChatGPT action right after the workflow. Copy the text above, and change out the values (make sure to put the transcript from the custom trigger at the botttom).
- Add a “Notes” action after that. Put the ChatGPT response in the notes. I’d also add a label at the top like “CALL SUMMARY” or something, just so you can easily tell what it is.
